Job Summary:
The Executive Support Specialist will play a crucial role in supporting the HR leadership team and the functions of the Global HR team. This position provides executive support to the HR leadership team and overall support for the HR organization when needed. This position coordinates with the HR Operations, Talent Acquisition and Talent teams to provide comprehensive administrative support. The role is instrumental in ensuring the smooth operation of the HR functions by managing various administrative tasks and supporting key HR executives.
Job Duties & Responsibilities:
- Administrative Support: Assist with day-to-day administrative tasks for the HR leadership team and HR leaders within HR. This includes managing communications, preparing documents, and handling requests.
- Calendar Management: Schedule and manage appointments, meetings, and events for the HR leadership team if and when requested.
- Travel and Expense Management: Arrange travel itineraries, accommodations, and transportation for HR leadership team when needed. Handle expense reports and reimbursement processes promptly and accurately.
- Coordination: Work closely with HR Operations, Talent Acquisition, and Talent teams to coordinate efforts and ensure alignment and support in administrative activities. Facilitate communication and collaboration among these teams.
- Scheduling: Scheduling and coordination of executive and leadership interviews for the Talent Acquisition director and team. Manage executive travel, agendas and run of show for interview process.
- Support for Chief People Officer: Assist and work closely with the Executive Assistant to the Chief People Officer in coordinating and completing tasks for the CPO and the broader HR organization. Provide extra support in managing the CPO’s schedule and administrative needs.
- Back-up Support: Provide backup administrative support in the absence of the Executive Assistant or other administrative team members within the Blac & Veatch organization. Ensure continuity of administrative services and address any urgent needs that arise.
Preferred Qualifications:
- Minimum of 3-5 years of experience in an administrative or executive support role.
- Prior experience supporting HR leadership is preferred, experience in a corporate environment supporting executive leadership is required.
- Proficiency in Microsoft Office Suite, Teams, Office, Word, PPT
- Proficiency in Concur
- Proficiency in Timekeeping Systems (ETS)
- Proven experience in an administrative or executive support role, preferably within a fast-paced or HR environment.
- Excellent organizational and time management skills, with the ability to manage multiple tasks and priorities effectively.
- Strong communication and interpersonal skills, capable of interacting with executives and team members at all levels.
- High level of professionalism and confidentiality.
- Flexibility and agility in tasks, assignments and workload.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and a high level of accuracy in all tasks.
- Ability to handle sensitive and confidential information with discretion.
- Flexibility and adaptability to respond to changing demands and priorities.
- Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.

This is the pay range that Magnit reasonably expects to pay for this position: $32.14/hour - $42.86/hour
